About Clean & Deduplicate Data

Clean & Deduplicate Data fixes the mess that builds up in a customer or item list: duplicate rows, stray spaces before a name, blank rows left behind by deletions and empty columns nobody filled. You choose which fixes to apply and which columns decide whether two rows count as duplicates, then get a count of exactly what changed. The sheet is processed in your browser.

How to use Clean & Deduplicate Data

  1. Open the spreadsheet and select the sheet you want to clean.
  2. Tick the fixes you need: trim spaces, collapse double spaces, remove empty rows or columns, remove duplicate rows.
  3. In Duplicate check columns pick the columns that identify a record, such as mobile or GSTIN; leave it empty to compare the whole row.
  4. Optionally set Text case to normalise names, then click Clean data.
  5. Read the summary counts and download the cleaned XLSX or CSV.

What people use it for

  • De-duplicating a customer list by phone number before a WhatsApp or SMS campaign
  • Cleaning a contact sheet that was pasted together from several sources
  • Removing blank rows and columns from an export before importing it into billing software
  • Standardising names to Title Case across a membership or student register

Good to know

Duplicate matching ignores letter case, so Ramesh and RAMESH count as the same value. The first occurrence of each duplicate is kept and later ones are removed, so sort the sheet the way you want before cleaning. Text options apply to text cells only; numbers, dates and amounts are left untouched. Always keep your original file until you have checked the result.

Frequently asked questions

Which copy of a duplicate is kept?
The first one in the sheet's current order is kept and the rest are removed. Sort by date or another column beforehand if you want the newest record to survive.
Can I match duplicates on just one column?
Yes. Select that column in Duplicate check columns, and rows are then compared only on it. Ctrl or Cmd click to choose several columns together.
Does cleaning change my original file?
No. The file on your disk is untouched; the tool produces a new cleaned copy that you download separately.
What does the summary tell me?
It reports rows kept, duplicates removed, empty rows removed, empty columns removed and cells fixed, so you can check the numbers look sensible before using the file.
